The Planner enables administrators to monitor the availability of staff that provide a particular type of service within the business. Typically the staff being monitored are providing either boarding or overnight services. The planner has been designed to show;
 

  • Periods when pet sitters are available to provide additional boarding or overnight services.

  • Periods when pet sitters are full or oversubscribed.

  • Periods when pet sitters are not working due to illness, vacation, holiday etc.

  • Details of overnight or bookings including start and end dates.

 

To view the planner
 

  • Navigate to DIARY AND SCHEDULE > PLANNER.

 

Setting up the Planner
 

When setting up your Pet Sitter Plus system, it is possible to monitor one type of service in the Planner.

 

To monitor a service in the Planner, the value of “Resource Cost” (for the service you want to monitor) must be greater than 0. Resource cost is a setting on the service item itself. To set the value of resource cost do the following

 

  • Navigate to a service item by clicking ADMIN > SERVICES > SERVICE ITEMS.

  • Choose the required service item from the list on the left.

  • Click "Advanced" in the middle of the screen. Resource cost is displayed in the top right hand pane of the "Advanced" options.

 

Examples:

  • Set resource cost to 1 when you want to monitor a boarding service for 1 dog.

  • Set resource cost to 2 when you want to monitor a boarding service for 2 dogs.

  • Set resource cost to 1 when you want to monitor an overnight service.

Setting "Capacity" for Staff

 

Capacity is a setting found on the staff record which controls whether or not a staff member will appear in the Planner. To set the value of Capacity do the following;

 

  • Navigate to ADMIN > STAFF

  • Choose the staff member from the list on the left hand side of the screen

  • Set the value of "Capacity" and click "Update"

 

Examples

  • Set the value of "Capacity" to 0 if the staff member should NOT appear in the planner. 

  • Set the value of Capacity to 1 if the staff member provides boarding services and can board a maximum of 1 dog. 

  • Set Capacity to 2 or more if the staff member has "Capacity" to board more than one dog.

  • Set the Capacity to 1 if the staff member provides overnight services. The value of capacity will never be more than 1 for overnights as staff can only provide an overnight service for one house at a time.

Understanding The Planner - Example: Overnight Services

 

By default, the planner is displaying the current month. Move between months by using the forward and back arrows next to the month.

Capacity

  • The "Cap" column indicates "Capacity",

  • In this example the Planner is configured to monitor "Overnight" services so "Capacity" will always be 1 as it is only possible to provide overnight services for one client at a time.

  • Note that "Capacity" is only for indication purposes and does not prevent additional bookings from being processed when a pet sitter is oversubscribed.

 

A number indicates one or more bookings

  • A number indicates that there is an "Overnight"  booking allocated to a pet sitter on any given day. 

  • Blank space indicates that the staff member is available but not booked.

A number indicates that the pet sitter has an overnight booking on that day. Click on the number to reveal the details of the booking.

The Planner can also be used to monitor available resources and bookings for Boarding services. 

Capacity

  • The "Cap" column indicates "Capacity",

  • If the Planner is being used to monitor boarding services, the "Capacity" is set to the maximum number of dogs that any given pet sitter can accomodate on any given day.

  • Note that "Capacity" is only for indication purposes and does not prevent additional bookings from being processed when a pet sitter is oversubscribed.

 

A number indicates one or more bookings

  • A number in any date column indicates that there are one or more bookings allocated to a pet sitter on any given day.

  • When the Planner is being used to monitor "Boarding" services, the indicated number also represents the total number of dogs boarding for the day.

  • Blank space indicates that the staff member is available but not booked.

  • When the Planner is used to monitor Boarding bookings, a number indicates that the pet sitter has one or more "Boarding" bookings on that day.

  • The number also indicates the number of dogs staying with the boarder.

  • Click on the number to reveal the details of the booking.

Managing Vacation and Periods of Unavailability in the Planner

 

Staff can login to their own user interface and record the days they are not going to be available to take on pet sitting assignments such as overnights and or boarding assignments.

  • A red dot in the Planner indicates that a pet sitter is not available.

  • A red  “1” in the Planner indicates that a booking conflicts with a pet sitter’s planned period of absence from the business.
